Case Tracker for small landlords

Repairs, complaints and damp-and-mould deadlines, tracked for you.

For housing associations, co-ops and almshouses with fewer than 1,000 homes. Every case runs against a deadline, and the right person gets an email when it is missed.

The demo on this page tracks repairs. Complaint and damp-and-mould deadlines are set up for you in the pilot.

Case list for the heating and plumbing team at Copperwell Living. Counts show 2 open, 0 due soon, 1 overdue and 1 escalated. The table lists two leak cases, one marked escalated.

What the demo does today

These are real screens from the demo app, which runs repairs. Screens marked council come from the same product set up for a made-up council, Kestrelford Borough Council.

A clock on every case, and an email when it runs out

The bar marks 75, 100 and 150 percent of the deadline. At 100 percent the team lead is emailed. At 150 the manager is.

SLA panel on a new leak case: on track, 0.0 of 4 working hours used, with marks at 75, 100 and 150 percent.
Estate demo. A new urgent repair, on track.
A red overdue banner and SLA bar: overdue by 0.2 working hours, 40.15 of 40 working hours used, department head emailed.
Council demo. The same bar once the deadline has passed.
Escalation email to a service-desk manager: a pothole case is still open at 150 percent of its deadline, with its reference, place, due time and the bar at 150 percent.
Council demo. The second escalation email. It names the place, never the resident.
Public status page on a phone for a fixed leak: a green Fixed banner and a four-step timeline from Received to Fixed.
Estate demo. Status page, top.
Lower half of the same status page: the repair type and block, an illustrated plan of Harbour Court, the update note, and a line saying the page never shows names, contact details, descriptions or photos.
Estate demo. The rest of the page.

Residents can check progress, with no personal data on the page

The public page shows the type of repair, the block, progress and updates. It never shows names, contact details, descriptions or photos.

It works from a reference number, so there is no account to set up.

A monthly report on how the deadlines were met

One page for the month, by team. It is the page to open when someone asks how the month went.

Set up for your deadlines

Your pilot is set up with your case types and deadlines, for example complaint stage 1 answered within 10 working days, or damp and mould investigated within 10 working days.

The demo screens above run repairs. The complaint and damp-and-mould clocks are not in them. The pilot is where we set those up with you.

This is not legal advice and makes no compliance claim. The deadlines in the table are published by the sources named. Check the current wording at the source.
